Job Announcement - Administrative Assistant to the Board
 
The KCAFP invites applicants for its administrative assistant (AA) position.  The KCAFP is a local chapter of the American Academy of Family Physicians and a constituent chapter of the Washington Academy of Family Physicians.  We are a professional organization of nearly 800 family doctors in King County.  The KCAFP administrative assistant is employed by, reports to and is supervised by the KCAFP board of directors.  The AA’s responsibilities are determined by the board and fall into the following three broad areas:
 
Communication & Marketing 
The AA serves as public contact person for the organization.  The AA is responsible for facilitating communication between the board and our membership, including ensuring that the website is maintained and up-to-date.  The AA also acts as liaison between the KCAFP and the Washington Academy of Family Physicians.  Minimum requirements include excellent written and verbal communication skills. We welcome applicants with nonprofit board experience, experience in basic web design, e-mail marketing, and social media outreach. Current applications being utilized include Weebly, Mailchimp, Wufoo, and the Adobe suite.
 
Event Planning
The AA is responsible for all organizational details related to meetings of the board of directors and of the membership at large.  This includes arranging venues and catering, scheduling speakers, taking minutes and maintaining records of all board activities.  The board meets monthly on a Thursday evening.  The AA also coordinates annual events sponsored by the KCAFP, including a job fair occurring on a weekend in October in partnership with the UW Department of Family Medicine, two annual general membership meetings, and an annual dinner for our membership in May.  In addition, the AA attends the two-day annual conference of the Washington Academy of Family Physicians in May.
 
Finances 
The AA assists the secretary-treasurer with preparing and overseeing the KCAFP annual budget.  The AA manages the chapter’s bank account and ensures that bills are paid.  The AA prepares monthly budget reports and keeps the board apprised of any budget variances.  We welcome applicants with basic bookkeeping and business management skills. Current software being utilized is Quickbooks online and Quickbooks Payroll.
 
The administrative assistant is the sole paid staff of the KCAFP.  It is a 10-hour per week position, though actual hours worked may vary between 5 and 15 depending on the week.  Hourly pay rate is $16-$20 based on experience. Monthly health insurance premium coverage is included in compensation package.  
 
The AA is expected to work from home.  The KCAFP does not rent office space but will provide all necessary equipment (laptop, printer, cell phone).
